What personal data we collect and why we collect it

The ways we collect data from you falls into two categories:

1. When you give it to us or give us permission to obtain it.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here:

https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms

When you submit data through the contact forms on our website, you may include your name, email address and phone number. This information we receive about you is sent to our inbox and is used to process your request.

We also use the WordPress Email log plugin which stores any data you send through the contact forms on our website. This is used to ensure we can still access a contact form submission in the event that it was not sent over to our mailbox server.

Mailing lists

When you sign up for our mailing list, you give us certain information voluntarily. This includes your name, email, and any other information you choose to give us. We use Mailchimp for our mailing lists and your can view their privacy terms here.

2. We also get technical information when you visit our website

Whenever you use our website, certain information gets created and logged automatically. Here are some of the types of information we collect automatically:

Log data

Our servers record information (“log data”), including information that your browser automatically sends whenever you visit a website, or that your mobile app automatically sends when you’re using it. This log data includes your Internet Protocol address, how you used our website, cookie data and device data.

Cookies

We also use “cookies” (small text files sent by your computer each time you visit our website, unique to your browser) or similar technologies to capture log data. 

When we use cookies or other similar technologies, we use session cookies (that last until you close your browser) or persistent cookies (that last until you or your browser delete them).

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We may use Google analytics to track and record how you use our website. This data is used to improve our website in order to make it easy for you to use and find the information you need on our website. 

We may also also use FaceBook pixel to track and record how visitors from FaceBook use our website. This data is collected and used to understand and measure the effectiveness of any FaceBook adverts we may be currently running. 

How long we keep your information

We keep your information only so long as we need it to provide a valuable service to you. When we no longer need to use your information and there is no need for us to keep it, to comply with our legal or regulatory obligations, we’ll either remove it from our system or depersonalise it so that we can’t identify you.

Your rights

You have certain rights in relation to the information that we have about you, as described below.

  • You can request to access the information we hold about you. We’ll usually share this with you within 60 days of you asking us for it.
  • You can ask us to correct your information or delete it, if you are unable to do it yourself.
  • You can ask us to stop using your information, and opt out of receiving our newsletters or marketing messages and object to us having the information you provided to us sent to another organisation, where we hold this information with your consent or for the performance of a contract with you, where it’s technically feasible.

How we make changes to this policy

We aim to meet high standards and so our policies are constantly under review. From time to time we may change this privacy notice. We recommend that you check this page periodically to review the latest version.
